Call for Proposals for the 57th ASEEES Annual Convention

ASEEES invites proposals for panels, roundtables, book discussion roundtables, lightning rounds, individual papers (virtual only), film screenings (in-person only), affiliate group meetings, and ancillary events for the 2025 Annual Convention. In 2025, ASEEES is again offering a small virtual convention followed by the main in-person convention. 

The 2025 theme is Memory. The 2025 Annual Convention will also offer a Spotlight on Central Asian Studies. We encourage proposals on both topics in all disciplines.

April 1: Film submissions and Affiliate Group meeting room requests
September 1: Ancillary event space requests

How to Submit a Proposal

Before submitting your proposal, please read the Rules and Guidelines for Convention Participation and the Convention Proposal FAQs. Be sure to gather all required information before starting your proposal, as you cannot save an incomplete proposal online.

IMPORTANT: Session organizers must have the express permission of participants to add them to the session.

Spotlight on Central Asian Studies: Those submitting proposals in Central Asian studies should check the checkbox in the submission platform.

Book Discussion Roundtables: Book Discussion Roundtables are now a separate submission type!

A book discussion roundtable is a discussion of a book of importance to the field published by no later than August 31 of the convention year.  At least one (1) roundtable speaker must be someone who is not an author, editor, or contributor.

Two + 1 Virtual Sessions: To foster robust participation in the virtual convention, those participating in two (2) in-person sessions may also participate in one (1) virtual session. The one (1) paper limit across both in-person and virtual format applies.

Session organizers must be current ASEEES members in order to submit a proposal. Notify the participants in your session that, while they do not need to become members at this time, they must become members after receiving acceptance notifications in the spring.

Make sure all session participants have a profile in the ASEEES member site. Ask all session participants for their exact last name as they appear in the member site so that you can search for them in the online submission platform. Participants do not need to pay member dues to create a profile.

Ask all session participants to enter a brief professional biography in the ASEEES member site. This information will be used in the review process. If they have a profile in the member site but are having difficulty entering their professional biography, they can use this form to provide the brief bio and the ASEEES staff will enter it for them.

All session participants must agree to participate either in-person or virtually. Session organizers will be asked to indicate whether a session will be for the virtual convention in October or the in-person convention in November in the proposal submission platform. NO hybrid or virtual sessions will be allowed at the in-person convention.

ASEEES accepts individual paper submissions for the virtual convention only.

Review the Session Categories before you submit your proposal. Session categories are used strictly for scheduling purposes and have no bearing on the proposal’s acceptance.

Ask all session participants if they have specific accessibility needs for the session. Session organizers can enter these in the Special Requests field in the submission platform.

If submitting a panel proposal, gather a title (<20 words) and a short abstract (<250 words) for each panel paper.

If you are submitting a series of sessions on a related theme, you may submit a maximum of 4 sessions. No exceptions. See the rules for more information.

When ready, go to the Online Submission Portal and log in using the same username and password as you use for the ASEEES Member Site.

While online submission of proposals is strongly encouraged, we do accept proposals for the following proposal types as email attachments. Complete the appropriate forms below and send as e-mail attachments to aseees.proposal@pitt.edu:

Notification

Acceptance notifications for both individual paper submissions and panel/roundtable submissions will go out by the end of April. The notification will not include the program schedule at that time. Upon notification of acceptance, participants are expected to become members of ASEEES. Please see the membership requirement rules.
