ASEEES Sent 2025 Convention Acceptance Notifications

On April 14, ASEEES sent out session proposal acceptance notifications for the 2025 Annual Convention with the following information:

We are pleased to inform you that your session has been accepted. While your panel/roundtable/lightning round participants are copied on this email, please check with them directly to make sure that they have received this acceptance notification, as we may not have their current email addresses in our database. 

Important: ASEEES is closely monitoring the uncertainties surrounding travel in and out of the United States in 2025. For the 2025 Annual Convention, session organizers may elect to convert their entire session to the Virtual Convention (October 23-24) as late as August 15, 2025

If you have already decided that you would like to move your session to the Virtual Convention (October 23-24), please use the Session Change Request Form to notify us by Friday, May 2, 2025, prior to the convention scheduling process. For those who have not yet decided, we recommend waiting, as travel conditions may change.  

As A/V costs are prohibitively expensive, we are not able to allow hybrid sessions (i.e. some participants “Zooming in”) at the in-person convention. 

SESSION CHANGES: To make changes or corrections to your session (titles, descriptions, etc.), please complete the Session Change Request Form. Questions pertaining to session changes that aren’t covered in the form can be addressed to: [email protected]

ASEEES MEMBERSHIP: Please note that all participants on panels, roundtables, and lightning rounds who are scholars and specialists of Slavic, East European, and Eurasian studies in any discipline in the US or abroad MUST be current members of ASEEES by May 15. Scholars and specialists outside the field may request a membership exemption with this Exemption Request Form. Please ask your session participants to join or renew their membership today, if they have not already done so. Complete membership rules can be found here.  

CONVENTION REGISTRATION: Registration is now open! All participants, without exception, must register and pay the appropriate registration fee. Register by August 15 to receive discounted registration rates. Both Virtual Only and Full Access convention rates are available. Full Access registration includes access to the virtual convention on October 23-24 and the in-person convention in Washington, D.C., on November 20-23. If you plan to participate the in-person convention in Washington, D.C., you will need to register at the Full Access registration rate.

CONVENTION GRANTS: ASEEES is delighted to offer four travel grant programs and a childcare grant program for the Annual Convention: the Graduate Student Travel Grant, the Convention Opportunity Travel Grant (now open to member with income under $40,000), and the Regional Scholar Travel Grant (deadline May 20), the Diversity and Inclusion Travel Grant (deadline August 31), and the Childcare Grant (deadline September 1). 

Please consider a donation to the ASEEES Travel Grant Fund! Now more than ever, ASEEES Travel Grants play a crucial role in supporting graduate students, contingent faculty, scholars in Eastern Europe and Eurasia, and other essential members of our community. As funding for research and conference travel becomes increasingly scarce, your contributions help ensure these scholars can participate in the Annual Convention. VISA LETTERS: To request a visa letter or letter of invitation, complete this Visa Letter Request Form. 

HOTEL RESERVATIONS: Reserve your room at the Washington Hilton. ASEEES has negotiated a discounted convention room rate of $220 (plus taxes) per night. 

STUDENT ROOMS: A limited number of hotel rooms are available at a discounted rate of $99 per night plus taxes on a first come, first served basis for current graduate students accepted to participate in the convention. Request a discounted room here— proof of student ID required. The first 50 applicants will receive the discount code and reservation information after their request is approved. 

Do not wait to request a discounted student room, as these will sell out within the first few days following this announcement. Rooms must be reserved by August 5, 2025. If discounted rooms remain after that date, those on the waitlist will be notified.  

ROOM SHARE: If you are looking for a roommate to share accommodations and costs at the Annual Convention, complete the Roommate Classifieds Form and/or view the list of attendees looking for a roommate. ASEEES provides this board as a service to attendees; it is attendees’ own responsibility to contact and make appropriate arrangements with potential roommates. ASEEES assumes no responsibility or liability for these arrangements. 

We expect all participants to read, understand, and abide by our Code of Conduct, which states: “The ASEEES Annual Convention is convened for the purposes of professional development and scholarly and educational interchange in the spirit of free inquiry and free expression. Speakers are asked to frame discussions as openly and inclusively as possible and to be aware of how language or images may be perceived by others.”
