ASEEES Convention Proposal Acceptance Letters Sent

On April 19, ASEEES sent out proposal acceptance notifications for the 2024 Annual Convention with the following information.

We are pleased to inform you that your session has been accepted. While your panel/roundtable/lightning round participants are copied on this email, please check with them directly to make sure that they have received this acceptance notification, as we may not have their current email addresses in our database. 

Important: In-person sessions must include all participants. Hybrid (“beaming-in”) participation is not available during the in-person convention. If you must move your session to the virtual convention, please complete the Session Change Request Form by no later than May 10.  

To make changes or corrections to your session (titles, descriptions, etc.), please complete this Session Change Request Form.  Questions pertaining to session changes that aren’t covered in the form can be addressed to: aseees.proposal@pitt.edu. 

ASEEES MEMBERSHIP: Please note that all participants on panels, roundtables, and lightning rounds who are scholars and specialists of Slavic, East European, and Eurasian studies in any discipline in the US or abroad MUST be current members of ASEEES by May 15. Scholars and specialists outside the field may request a membership exemption with this Exemption Request Form. Please ask your session participants to join or renew their membership today, if they have not already done so. Complete membership rules can be found here.  

CONVENTION REGISTRATION: Convention registration is now open. All participants, without exception, must register and pay the appropriate registration fee. Register by August 9 to receive discounted registration rates. In-person registration includes access to the virtual convention October 17 – 18.

VISA LETTERS: Complete information is available HERE. To request a Visa letter or letter of invitation, complete this Request Visa Letter form.  

HOTEL RESERVATION: You can now make your hotel reservation at Marriott Boston Copley Place. Discounted Convention room rates of $220 + taxes have been negotiated for ASEEES.  Hotel information can be found HERE.  

STUDENT ROOMS: A limited number of hotel rooms will be available at a discounted rate of $110/per night plus taxes. These rooms are available to current graduate students who have been accepted into the convention program. Proof of student ID is required. The discount code will be sent to the first 50 submitters once they are approved. Do not wait to request a student room if you need it. They will sell out within the first few days of this announcement. Rooms must be reserved by August 2, 2024. If discounted rooms remain after that date, those on the waitlist will be notified. ROOM SHARE OPPORTUNITIES: If you are looking for a roommate to share accommodations and cost at the Annual Convention, complete the room share form and view the list of attendees who are looking for a roommate. While ASEEES provides this roommate board as a service to Annual Convention attendees, it is attendees’ own responsibility to contact and make appropriate arrangements with potential roommates. ASEEES assumes no responsibility or liability for these arrangements. 

CONVENTION GRANTS: ASEEES is delighted to offer four travel grant programs and a childcare grant program for the convention. The deadline for the Graduate Student Travel Grant, the Regional Scholar Travel Grant and the Convention Opportunity Travel Grant is May 20. The deadline for the Diversity and Inclusion Travel Grant is August 31. The deadline for the Childcare Grant is September 1. More information can be found HERE

We expect all participants to read, understand, and abide by our Code of Conduct, which states: “The ASEEES Annual Convention is convened for the purposes of professional development and scholarly and educational interchange in the spirit of free inquiry and free expression. Speakers are asked to frame discussions as openly and inclusively as possible and to be aware of how language or images may be perceived by others.”
