Important Information for 2025 ASEEES Annual Convention Participants

On November 6, ASEEES sent the following email to all registered participants in the 2025 ASEEES Annual Convention.

The 2025 ASEEES Annual Convention in Washington, DC, is only two weeks away! We’re excited to offer over 630 sessions, meetings, and other events scheduled for the 2025 Convention in Washington, DC, including 6 film screenings, 18 receptions, meetings, and a performance by the Silk Road Dance Company. 

Convention Program Online: View the Convention program HERE. Be sure to check out the Film Series and Special Events pages for highlights. You must be logged in using your ASEEES credential to view the program; you must be registered for the Convention to see the session locations, save a personal schedule, and access the PDF version of the program

To make changes to the online program, session organizers should fill out the Change Request Form.

Convention Mobile App: The mobile app for the convention is now live. Please note that only convention registrants will be able to access the app. Please log in using the email address you used to register for the convention. The passcode has been emailed to registrants via the Convention News listserv.
Please note that the personal schedule on the online convention program does not sync with the personal schedule in the mobile app.

Print Program: Print programs will be available at the Convention for those who requested a print program in the registration form. 

Convention Duration: The Convention begins at 1:00 pm ET on Thursday, November 20, and  ends at 1:45 pm ET on Sunday, November 23. 

Session Presentation Times: Each session is 1¾ hours long.Presentations on roundtables should be 10-15 minutes per speaker (depending on the number of speakers). For panels, a paper presentation should be 15 minutes for a 4-paper panel and 20 minutes for a 3-paper panel. Discussants should provide comments for about 10 minutes. 

Presentation Best Practices: For session participants, please review the best practices and accessibility guidelines.

For Paper Presenters: Please send your paper to the panel discussant(s) and, ideally, to the other panelists two weeks in advance of your panel

For Session Chairs: The main task of the chair is to introduce the presenters/discussants and keep them to a set schedule so that all presenters have the allotted time for their presentations. Please gather the speaker bios in advance of the session. We also ask the chair to point out the ASEEES code of conduct policy and take the lead in establishing an environment that encourages professional behavior and exchange of ideas.

Audio-Visual Equipment: Please review the audio-visual equipment policy and best practice. ASEEES will provide a digital projector and screen only in meeting rooms where submitters have indicated that they require a/v equipment when submitting a proposal. You will be required to bring any other equipment, specifically your own laptop or digital devices, in order to make your presentation. Larger meeting rooms with 75+ seats will have a microphone and speaker. There will be an A/V practice room available to test your audio-visual connections, located in Office #2 at the Concourse level. 

Pre-Convention Graduate Student and First-Time Attendee Networking Event on Zoom

ASEEES invites graduate students and first-time attendees to join us on November 10 at 12 PM ET and/or November 11 at 12 PM ET for an informal, virtual networking event for graduate students and first-time attendees to the Convention.  The Zoom links have been emailed to registrants via the Convention News listserv.

On-site Registration & Badge Pick-up: Located on the Terrace level of the hotel, the badge pick-up and registration desk will open for a short duration on Wednesday, November 19, 3:00 – 5:00 pm ET and then open in full capacity at 9:00 am ET on Thursday, November 20. 

Be sure to join us for the Opening Reception and Exhibit Hall Tour on Thurs., Nov. 20, from 6:30 to 8:00 pm. All registered attendees are welcome. Light refreshments and a cash bar will be available. Be sure to enter the raffle for prizes!

Current ASEEES members are invited to the Annual Meeting of Members on November 21 at 5:30-6:00 pm ET, at Washington Hilton, Columbia 6 at the Terrace level.

Health and Safety Policy: Please review the health & safety policy. By attending the ASEEES Convention in person, you expressly agree to comply with any and all rules and safety guidelines put in place by ASEEES and by local authorities and voluntarily assume all risks related to exposure to COVID-19, waiving all claims and potential claims against ASEEES and their affiliated companies relating to such risks.
