2026 ASEEES Convention Preliminary Schedules Announced
On May 14, ASEEES sent out the preliminary schedules for the 2026 Annual Convention with the following information:
We are pleased to announce that the preliminary schedules for the 2026 ASEEES Annual Convention, Virtual (October 16-17, CDT) and In-Person at the Palmer House Hilton, Chicago, IL (November 12-15, CST), are now available.
Go to the program webpage and click “View Online Program” to view the schedule. You can find your session or meeting by entering your name or session title in the search box. You must log in with your ASEEES member site credentials (username and password) to view the online program. You must be registered for the convention to see the session room assignments (room assignments are subject to change).
A PDF version of the preliminary program will be available on the convention website in a few weeks.
All affiliate group meetings and ancillary events have been scheduled and are subject to change. If you do not see your event scheduled, we have not received it. Submissions for ancillary events, such as receptions or literary events, are being accepted via the online submission platform until September 1. Film screenings are being finalized and will be announced shortly.
CHANGE REQUESTS
Please DO NOT ask us to move your session. The Program Chair and the Program Committee have spent numerous days trying to avoid thematic conflicts. The virtual convention schedule has been created with a focus on time zone considerations for all participants. This may cause unavoidable thematic overlap; however, sessions will be recorded for later viewing.
Please review your session(s) for any errors or omissions by May 21 to ensure accuracy in the preliminary program PDF. To request a change to your session, such as a title or participant, complete the Session Change Request Form.
Please review your name and affiliation for errors. You can update your personal information by logging into your profile on the member site. ASEEES does not make profile changes via email requests.
For the 2026 Annual Convention, in-person session organizers may elect to convert their entire session to the Virtual Convention (October 16-17 CDT) as late as August 15, 2026.
MEMBERSHIP RULES & EXCEPTIONS
All participants who are Slavic, East European, and Eurasian Studies specialists in the US or abroad must be current ASEEES members to participate in the convention. If you are not currently a member or have not renewed your membership for 2026, you must do so immediately.
Scholars and professionals outside the field of Slavic, East European, and Eurasian Studies may request an exemption from the membership requirement by completing this form. Please note that to be outside of the field means that a presenter’s professional work does not focus on the SEEES region, the presenter has not participated in other SEEES-related conferences and will serve as a guest to give an external scholarly perspective outside of the SEEES sphere.
REGISTRATION
WITHOUT EXCEPTION, ALL PARTICIPANTS must pre-register and pay the registration fee. This is in addition to membership dues. The early-bird registration deadline is August 12. Registration rates will increase after that date. Complete information is available on the registration page.
Ukrainian Registration Waivers: Due to the ongoing war in Ukraine, we recognize the challenge some of our Ukrainian scholars face in purchasing membership or convention registration. This year, convention participants residing in Ukraine or displaced outside of Ukraine because of the war may complete this request form to request membership and/or a convention registration waiver.
Session organizers: If you are the session organizer as well as a participant in the session, you must be entered into the system for both roles and must register. Organizers not participating in the convention are not listed in the program and do not need to register. To request an edit to your session participation, please submit the change to the Session Change Request Form.
CONVENTION GRANTS
ASEEES is delighted to offer travel grants as well as childcare grants for the convention. The deadline for the Graduate Student Travel Grant, the Convention Opportunity Travel Grant, and the Regional Scholar Travel Grant is May 20. The deadline for the Convention Inclusion Travel Grant is August 31. The deadline for the Childcare Grant is September 1. More information can be found HERE.
HOTEL

INVITATION & VISA LETTERS
To request an official invitation letter or letter to pursue a visa, complete this Letter Request Form no later than September 15. We require up to ten business days to complete and return a letter to you.
A-V POLICY
For the in-person convention, ASEEES will provide an LCD package (screen/projector/cable) or TV monitor/cable set-up in meeting rooms for panels and roundtables ONLY FOR SESSIONS WHICH REQUESTED IT IN THEIR PROPOSAL. No other audio-visual equipment is provided. You are required to bring your own laptop and a dongle to connect to HDMI (especially if you have a Mac) to give your presentation. Microphones will be provided in larger rooms.
For more information, see the A/V Equipment Policy. There will be a practice room set up in the hotel. We highly recommend you test your laptop for compatibility with the projector in the practice room before your presentation.
Important: ASEEES does not have the necessary staffing to support hybrid sessions. Hybrid sessions (“beaming in” a participant) will not be accommodated.
VIRTUAL SESSIONS
Sessions at the virtual convention will be provided with an embedded Zoom link. Zoom links will be added to the online program prior to the Virtual Convention. You will not need to, nor be permitted to, provide your own Zoom link for a virtual session, nor can you share the link to your session. Virtual sessions can only be accessed by registered participants. See the ASEEES policy for recording and social media.
